Publication and Archiving Policy

STA Congress aims to manage event outputs not as transient web content but as a verifiable and sustainable scholarly record.

Publication scope

The archive may include symposium and exhibition records, programmes, abstract/full-paper proceedings, exhibition catalogues, digital exhibitions, required policy/decision notices and related bibliographic metadata. Publication is not an automatic consequence of acceptance or participation; event-specific publication conditions apply.

Versioning and record integrity

Published scholarly records are not silently altered. Substantive changes are made visible through a dated correction notice, new version or applicable retraction/expression-of-concern record. Minor technical errors that do not change meaning may be corrected editorially, while changes affecting scholarly meaning leave a visible record.

Persistent archive and access

The platform seeks reasonably persistent URLs, file integrity, backups and format sustainability. Scholarly records should remain accessible where practicable even if platform technology changes. Where removal is necessary, and legally permissible, a bibliographic tombstone and reason for removal may be retained.

Removal from the archive

Content is not ordinarily erased from the scholarly record merely because an author later changes their mind. Copyright infringement, court/authority orders, serious privacy or personal-safety risks are assessed separately. For erroneous or ethically problematic scholarly content, the preferred approach is a traceable correction or retraction where possible.

Implementation note

This text is an institutional operating policy of STA Congress. Applicable law, competent-authority decisions and stricter event-specific rules prevail where relevant. Policies must remain consistent with actual workflows and technical systems.
