Complaints and Appeals Policy

An appeal against the scholarly basis of an editorial decision is distinguished from a complaint about process or conduct; both are handled through a recorded and conflict-aware procedure.

Channel and scope

Requests may be submitted to [Contact email must be configured.]. The message should identify the event/publication/submission, provide a concise chronology, state the requested outcome and include supporting evidence where available. Data-protection rights should use the dedicated privacy channel.

02

Appeal

An appeal against rejection should identify concrete grounds such as misapplication of criteria, overlooked material evidence, factual error or serious procedural irregularity, rather than mere disagreement with the outcome. Where practicable it is reviewed by a person other than the sole original decision-maker.

03

Complaint

Complaints about reviewers, editors, committee members, organisation, communication, discrimination, confidentiality, conflicts or process integrity are reviewed by an appropriate responsible person. A person directly implicated in a complaint may not decide it alone.

04

Timing and outcome

Receipt is acknowledged within a reasonable period; where sufficient information is available the target is to complete review within 30 days. Complex matters or cases requiring external institutional input may take longer, in which case the complainant is informed. The outcome and essential reasons are communicated.

Implementation note

This text is an institutional operating policy of STA Congress. Applicable law, competent-authority decisions and stricter event-specific rules prevail where relevant. Policies must remain consistent with actual workflows and technical systems.
