Applicant declarations
- Identity, affiliation, contact, authorship and work information supplied in the application is accurate.
- The applicant holds the authority required to submit and publish the material.
- All co-authors/co-creators are aware of the submission and accept the stated authorship/contribution arrangement.
- Required attribution, permissions or licence conditions for third-party material have been satisfied.
- Prior publication, presentation or simultaneous consideration elsewhere is disclosed.
- Where ethics approval, participant consent, institutional permission or similar authorisation is required, valid documentation has been obtained.
- Financial and non-financial conflicts of interest and funding/support relationships are disclosed.
- Material use of generative AI or comparable automated tools in content creation is disclosed.
Evaluation and programming
Scholarly paper submissions are assessed under the published criteria and double-blind peer-review policy. Exhibition submissions may undergo artistic/curatorial assessment; where artist identity cannot reasonably be concealed, the process is not represented as double-blind peer review. Acceptance does not guarantee a particular session or time slot and necessary programme changes may be made.
Presentation, recording and visibility
For online events, name, affiliation, presentation title and programme information may be published for operation and scholarly archiving. Audio/video recording, public release of recordings or promotional reuse is separately disclosed and any required permission/explicit-consent process is applied according to the legal basis.
Breach of declarations
If a declaration is found to be false or a rights/ethics violation is established, the submission may be removed from evaluation, acceptance withdrawn, programme placement cancelled or the publication record updated under the correction/retraction procedure.
This text is an institutional operating policy of STA Congress. Applicable law, competent-authority decisions and stricter event-specific rules prevail where relevant. Policies must remain consistent with actual workflows and technical systems.
